If the actual cost exceeds the planned one, the cost per hectare and the total need for working capital will increase. A single figure in the budget only shows the base expectation. To prepare for volatility, a manager needs several scenarios, a cost sensitivity analysis, a reserve, and a payment schedule. With such a model, the farm sees in advance how much additional money will be needed after a change in the cost of key resources.

Which resources have the greatest impact on an agribusiness budget?

The first step should be the distribution of production costs by group. For each item, the amount per hectare, total requirement for the planned area, share in the budget, procurement period, and possible range of cost changes are determined.

The calculation includes:

seeds and planting material;

mineral fertilizers;

crop protection products;

fuel and lubricants;

spare parts and equipment repair;

machinery rental or leasing;

electricity;

logistics;

drying, cleaning, and storage of products;

labor costs;

third-party contractor services.

The cost structure depends on the crop, technology, region, and machinery fleet. For one farm, fertilizers may form the largest share, while for another, equipment rental, drying, or contractor services create a significant burden. Therefore, control should be built based on your own data.

In budgeting, Pareto logic can be applied: primary attention is directed to items with a large share or high price volatility. A minor item requires additional control if its shortage could stop a field operation. For example, a single spare part may occupy a small part of the budget, but its absence on the required day will cause equipment downtime.

How to determine budget sensitivity to price changes?

Sensitivity analysis shows how much the total cost will change after adjusting one parameter. A farm can increase the price of each resource by 5%, 10%, 15%, or another nominal value and immediately see the financial result.

Consider a farm planning to grow a certain crop on 1,000 hectares. A nominal base budget is 30 million UAH, or 30,000 UAH/ha. All figures in the example are used to explain the methodology.

Resource

Base amount

Share in budget

Nominal price increase

Impact on total costs

Control priority

Fertilizers

8 million UAH

26,7%

+15%

+1.2 million UAH

High

Fuel

3 million UAH

10%

+20%

+600 thousand UAH

High

Crop Protection Products

5 million UAH

16,7%

+10%

+500 thousand UAH

Medium

Seeds

4 million UAH

13,3%

+5%

+200 thousand UAH

Medium

Fertilizers have the greatest impact in this example. A 15% increase in this item increases the total budget by 1.2 million UAH, or 1,200 UAH/ha. A 20% increase in fuel prices requires another 600 thousand UAH.

For comparison, let’s take a separate item totaling 1 million UAH. Even a 20% increase will only raise costs by 200 thousand UAH. The percentage change is higher, but its monetary impact is six times smaller than in the case of fertilizers.

Priority is determined by a combination of two parameters: the possible amplitude of change and the total cost amount. Additionally, procurement timing, the number of suppliers, and the consequences of a shortage are considered. Agricultural resource prices must be updated in the model along with current commercial offers.

Стати партнером

Agricultural Installments for Agribusiness

                    Learn more

Why is one budget per season not enough?

Scenario budgeting involves several versions of the same production plan. The sown area and crop production plan remain the same, while the prices of individual resources change. Thanks to this, the farm budget shows the range of funding needs.

For example, let’s use the following assumptions:

favorable scenario – fertilizers and fuel are 5% cheaper, PPPs are 3% cheaper;

base scenario – prices set during planning are in effect;

stress scenario – fertilizers become 15% more expensive, fuel 20%, PPPs 10%;

seeds, repairs, labor costs, and other items remain at the base level.

The resulting indicators will look like this:

Indicator

Favorable

Base

Stress

Fertilizers

7.6 million UAH

8 million UAH

9.2 million UAH

Crop Protection Products

4.85 million UAH

5 million UAH

5.5 million UAH

Fuel

2.85 million UAH

3 million UAH

3.6 million UAH

Other costs

14 million UAH

14 million UAH

14 million UAH

Cost per 1 ha

29,300 UAH

30,000 UAH

32,300 UAH

Total budget

29.3 million UAH

30 million UAH

32.3 million UAH

Deviation from base

-700 thousand UAH

0 UAH

+2.3 million UAH

The stress scenario increases costs by 2,300 UAH/ha. On an area of 1,000 hectares, the additional requirement equals 2.3 million UAH. The farm receives a specific amount for a reserve, negotiations with suppliers, or searching for financial resources.

The next step is to evaluate the impact on the cost per ton. With a yield of 5 t/ha, the base cost is 6,000 UAH/t, if all 30,000 UAH/ha are included in the calculation. In the stress scenario, the indicator rises to 6,460 UAH/t. The difference reduces the projected profit on every ton.

The general methodology for calculating costs, yields, and profitability is contained in the material on the economics of crop cultivation. Practical principles of how to plan costs for agricultural resources help to regularly update assumptions.

How to form a reserve for resource price increases?

A universal reserve percentage gives an inaccurate result. Adding the same 10% to each item ignores different volatility, contract terms, and cost shares. The reserve should be calculated based on the resources that most affect the model.

The sequence consists of six steps:

Identify the largest and most volatile items.

Establish a stress price for each of them.

Recalculate costs per hectare.

Multiply the difference by the planned area.

Add potential increases in logistics and other variable costs.

Obtain the total potential additional burden.

In the end-to-end example, the reserve to cover the defined stress scenario is 2.3 million UAH. If the farm expects a possible price increase for logistics or spare parts, the corresponding deviations are added as separate lines. After this, the reserve amount may increase.

A budget entry does not yet create money in the account. The farm must identify the source of the 2.3 million UAH: free balance, future revenue, reduction of non-critical expenses, revision of the procurement schedule, or external financing.

The actual liquid reserve may also be lower than the budget reserve. For example, the financial plan provides for the possibility of spending an additional 2.3 million UAH, but at the time of purchase, only 1 million UAH is available. The remaining 1.3 million UAH must be found by the payment deadline.

Купуйте зараз, платіть потім

Agricultural Installments for Agricultural Producers

                    Learn more

How to reduce the impact of fluctuations on production costs?

Cost planning in agribusiness should include procurement rules before sharp market changes occur. The farm determines the maximum cost of resources, the acceptable volume of early procurement, and the conditions under which it fixes the next batch.

Risk management is aided by:

early calculation of needs by crop and field;

monitoring multiple suppliers;

fixing a portion of resources in advance;

phased acquisition;

price fixing in the contract;

negotiations on the payment schedule;

safety stock of critical items;

control of delivery and related costs;

revision of the technological budget after a significant price increase.

Purchasing in installments allows the price risk to be distributed across several dates. It does not guarantee the minimum average cost, but it reduces dependence on a single moment. The volume of each batch is determined by the timing of use, warehouse capacity, available funds, and delivery terms.

Price fixing makes sense when the contract clearly defines the quantity, characteristics, delivery time, and responsibility of the parties. A formal price without confirmed logistics may lose its advantage if the resource arrives after the technological deadline.

The criteria for choosing the timing are discussed in more detail in the material on when it is more profitable to buy agricultural resources. The farm’s goal is to manage the average purchase cost, resource availability, and the impact of contracts on liquidity.

How to combine the resource budget with the farm’s cash flow?

The budget shows the total amount of expenses for the season. Cash flow reflects specific dates of receipts and payments. Even an acceptable production cost may be accompanied by a cash shortage in months when fertilizers, PPPs, fuel, and repairs are paid for simultaneously.

For each purchase, a calendar should be formed with the following fields:

Month → resource → required volume → projected price → amount → payment deadline → available own funds → possible deficit.

In the base scenario, the farm needs to pay 4 million UAH for October resources. After a price increase for some items, the amount rises to 4.8 million UAH. The free balance for this period is 3.5 million UAH.

Calculation result:

base deficit – 4 million − 3.5 million = 500 thousand UAH;

stress deficit – 4.8 million − 3.5 million = 1.3 million UAH;

additional impact of price increase – 800 thousand UAH.

Even in the base version, the farm lacks part of the amount. The stress scenario increases the resource requirement to 1.3 million UAH. If the manager sees this before October, they can change the calendar, agree on phased delivery, or prepare a source of financing.

Agribusiness financial planning needs to be updated after every significant change in price or procurement schedule. Mechanically reducing norms or excluding an operation can worsen crop condition, yield, and financial results more than the initial resource price increase.

First, you need to re-check commercial offers, delivery, the possibility of an analogous product, and the procurement schedule. Next, the farm can postpone non-critical expenses, split the batch, agree on a deferral with the supplier, or evaluate financial instruments.

Agricultural resource financing can be applied when the need is confirmed by the crop production plan, the cost fits into the crop economics, and full payment reduces liquidity below an acceptable level. In the example, the farm needs to cover the October deficit of 1.3 million UAH and include future payments in the cash flow.

Financial solutions for agribusiness from WEAGRO involve purchasing goods with payment according to an agreed schedule or at the end of the term. A term of up to 12 months is offered, an amount of up to 5 million UAH under one contract, and application approval within 30 minutes. The specific limit and parameters are determined after reviewing the application.

A financial instrument must be evaluated by its impact on the total cost and future liquidity. The payment schedule should correspond to expected receipts, and the stress scenario should take into account a possible delay in revenue or additional costs.

Checklist for preparing a budget for price changes

The model should be built so that a change in the cost of one resource automatically recalculates the cost per hectare, total requirement, and deficit by month. The following order can be used for preparation:

Draw up crop production plans.

Calculate base costs per hectare.

Determine total resource requirements.

Identify the 5–7 largest budget items.

Identify the most volatile resources.

Collect current supplier offers.

Establish a base price for each item.

Determine the stress price.

Recalculate costs per hectare.

Update the total budget.

Calculate the financial reserve.

Draw up a procurement calendar.

Overlay it on the cash flow forecast.

Identify months with a potential deficit.

Identify sources to cover the shortage.

Regularly update prices and actual costs.

After a contract is concluded, the planned cost is replaced by the actual one. If the price of another resource changes, the model is recalculated again. Such control shows the cumulative impact of deviations throughout the season.

A budget prepared for fluctuations contains base and stress scenarios, a sensitivity analysis, a calculated reserve, and a payment schedule. The farm knows in advance the expected cost of the season and the amount of a possible increase in capital requirements. This gives time to review procurement, negotiate with suppliers, and prepare financing.

Купуйте зараз, платіть потім

Agricultural Installments for Agricultural Producers

                    Learn more

An agribusiness budget is formed before the start of the season, while seeds, mineral fertilizers, PPPs, fuel, spare parts, and other resources may be purchased over several months.
